Belt tracking

Belt tracking software that knows who is ready to test

BlackBeltCRM keeps ranks per program, shows who is ready to move up by classes attended or time at rank, and puts them on a test day, with the grading fee collected through the same billing that runs tuition. Karate, taekwondo, jiu-jitsu, kung fu and any other ranked art, from $49 a month.

Your ranks, not a generic level field

Each program has its own ranking system. Start from the standard ladder of White, Yellow, Orange, Green, Blue, Purple and Brown through black belt 1st to 10th dan, then rename, reorder or remove ranks to match your syllabus. Each belt can use one of 68 built-in belt pictures, so a kids program and an adult program can look and count differently.

Because ranks belong to the program, a kyu and dan karate syllabus, a stripe-based jiu-jitsu ladder and a kids belt system can run side by side in one business without forcing any of them into another shape.

Who is ready to test, without a spreadsheet

The Promotions screen lists the students eligible to move up, based on classes attended or time at their current rank. Select who is ready and put them on a test day. Attendance is already in the system, so there is nothing to export or count by hand.

Grading fees are billed, not remembered

Grading and testing fees are their own event: they fall on a date, only some members are eligible, and the fee depends on the rank. Fees are set on the rank itself and charged through the same billing as tuition, and testing revenue is kept apart from tuition instead of folded into it.

One record for the family

Siblings and parents train under one account with one statement, while each student keeps their own attendance and rank history. When belt tracking sits inside the same system as billing and attendance, a promotion, a fee and an attendance record are the same record, not three tools to reconcile.

Questions people ask

Can I use my own belt names and order?

Yes. Ranks are set per program. You can rename, reorder or remove ranks, so the ladder matches your syllabus rather than a fixed template.

Does it track more than one art or association?

Yes. Each program holds its own ranking system, so different arts and different syllabi run in the same business.

Is belt tracking an extra charge?

No. Every plan includes every feature. Pricing is by active members, from $49 to $249 a month, published on the pricing page.

Is it only for martial arts?

No. Ranks and promotions are a martial arts feature, and the same system runs billing, attendance and member records for gyms, dance, gymnastics, swim and other membership businesses.
