Billing in your own name vs a billing company

Full-service tuition billing companies collect from your families for you. When that makes sense, what to check first, and how billing in your own name works.

Every school owner eventually asks whether to run billing themselves or hand it to a company that does it for them. Both are legitimate choices. This is how to think about them, with facts from public pages rather than opinions.

What a billing company does

A full-service billing company collects tuition from your families for you. In martial arts, AMS (Amerinational Management Services) is one of the long-established names. Their tuition billing page says the service “handles all of the collection issues”, that collections are compliant with the FDCPA, and “No monthly fees, no hidden costs”. Families pay through AMS’s own student payment line and online payment portal. Their pages do not publish a fee schedule.

When it makes sense. If you want no involvement in billing at all, a billing company takes the chasing off your desk, and that is worth real money to some owners.

What to check first

Because families pay the billing company rather than your school, its service becomes part of your reputation. Before signing with any billing company:

  1. Ask how it is paid: a flat fee, a percentage of tuition, or both, in writing.
  2. Ask whose name families see on their card statement and on any collections letter.
  3. Ask who sets the cancellation rules for your families, and whether you can change them.
  4. Read its public record. For AMS, the Better Business Bureau profile shows an A- rating, not BBB accredited, 42 years in business, and 12 complaints in the last 3 years, 2 in the last 12 months, labelled by BBB as Order Issues (5), Service or Repair Issues (3), Billing Issues (2) and Product Issues (2). Read the complaints yourself and judge them; every long-running company has some.

Billing in your own name

The other way is to bill families yourself, with software doing the work. That is how BlackBeltCRM is built:

  • Families pay your school. The merchant account is opened through our payment partner and held in your school’s name, with same-day and next-day funding.
  • One bill for the whole family, on autopay, with one statement.
  • A declined card is tried again the next morning, and the family is told the same day, so most fix it before anyone has to make an awkward call.
  • Your rules. You set your own cancellation and late-payment policies.
  • No percent of your tuition. One flat monthly price by member count, from $49 a month. Card processing is billed separately.

What you give up is the hands-off collections service: someone at your school still owns the follow-up on the families who do not pay. Our aging and collections tools make that a short list instead of a spreadsheet, but it is still yours.

See the comparison for how billing works at each vendor, the pricing page for ours, and switching if you are moving your families over.
