Leaving Gymdesk: how to export your members and move your school

Gymdesk lets you export members, attendance and payments yourself, with no fee to leave. What to export, what to ask about stored cards, and how to import.

Gymdesk makes leaving straightforward, and it is worth saying so. Their pricing page says: “We do not charge you to cancel and we do not charge you to take your records with you.” Here is the order we would follow, with what Gymdesk publishes about each step, checked on October 24, 2026.

1. Export everything first

Gymdesk says exports cover “Members, attendance history, payment records, waivers and documents”, and that they are “Self serve from your account, not a support ticket” (source). The member list exports as a PDF or CSV file.

Take all of it, even what you will not import. Attendance and payment history are your records, and you will want them for tax time and for families who ask.

2. Write down your memberships and prices

We could not find a separate export for membership plans, so list your plans, prices and family discounts by hand. It takes ten minutes and saves the guesswork later.

3. Ask about stored cards, in writing

Gymdesk’s help center says payment information is “stored with the payment integration you choose to use” and that “you retain all payment information should you choose to migrate” (source). If you bring your own Stripe or Square account, your cards stay there.

If you use Gymdesk Payments, we could not find a published guide for moving stored cards out. Ask Gymdesk before you cancel, so you know whether families will need to re-enter a card. Ask us too: whether stored cards can come across depends on the processor they are stored with.

4. Check the file, then import it yourself

Run your member export through our free file check: it reads your real file in your browser and shows what would come across. It reads the file; it does not import it.

Then, inside the 30-day trial, import your members yourself with our free import tool. Match each status to Active, Suspended or Inactive, review every family and member it will create and your new monthly rate, then import. Undo it if anything looks wrong. If you would rather we did the import for you, we can, for a fee.

5. Set up the martial arts side

This is where a martial arts school feels the difference. Start your programs from the standard ladder, White, Yellow, Orange, Green, Blue, Purple, Brown I to III, then black belt 1st to 10th dan, and rename, reorder or remove any rank. Pick each belt from 68 built-in belt pictures, set test fees per rank, and every promotion stays on the student’s record.

What you gain, and what you give up

Fair is fair. Gymdesk includes a website in every plan, offers a branded app, and lets you choose your payment processor. Our websites arrive in January 2027 and our branded app is in planning.

What you gain: belts and testing depth, at-risk warnings and retention as a rate, the app, portal and emails in English and Spanish, families billed in your school’s name, and a published price ladder past 250 members. Questions people ask

Can I export my data from Gymdesk?

Yes. Gymdesk's pricing page says exports cover members, attendance history, payment records, waivers and documents, self-serve from your account, and that they do not charge you to cancel or to take your records with you.

Do my stored cards move when I leave Gymdesk?

If you use your own processor, Gymdesk says the payment information stays with that processor. If you use Gymdesk Payments, we could not find a published guide for moving stored cards out, so ask Gymdesk in writing before you cancel.

Does BlackBeltCRM charge to import my members?

No. You import your members yourself with our free import tool, see every family before anything is written, and can undo it. If you would rather we did the import for you, we can, for a fee.
