Leaving Kicksite: export your students and switch without losing anyone

Kicksite says to export before you cancel and that stored cards cannot be exported. The notice period, what to export, and how to import into BlackBeltCRM free.

Kicksite publishes clear instructions for leaving, which is to its credit. The most important line is this one, from their help center: “Once your account closes you lose access. Export before you cancel, not after.” Here is the order we would follow, checked on October 24, 2026.

1. Plan around the 30-day notice

Kicksite’s terms of service require “a written 30 day cancellation notice via the cancellation request form”. If you are on an annual plan, it renews every 12 months and is not refunded if cancelled early, so check your renewal date first. Your merchant account is separate: Kicksite says it “cannot cancel it on your behalf” and that “cancelling either service doesn’t cancel the other.”

Use the 30 days well: start your BlackBeltCRM trial and import while Kicksite is still running.

2. Export everything

From the same help article: Finances, each tab, Export, covers “invoices, recurring billings, payments, and payment methods”. The Student List and the Attendance Log each have an Export button, and the files are CSV (finances reports, attendance log). The Ranks Overview exports students per rank, which saves you rebuilding belt records by hand (programs).

3. Plan for new card details

Kicksite is direct about this: “Card details can’t be exported. They’re stored at the processor, not in Kicksite. If you’re moving to other software, you’ll be collecting payment details again.” Tell families before the switch, and give them a simple date to add their card in the new member portal.

4. Check the file, then import it yourself

Run your student export through our free file check in your browser: it shows what would come across before anything is written. Then, inside the 30-day trial, import your members yourself with our free import tool, review every family and member it will create, and undo it if anything looks wrong. If you would rather we did the import for you, we can, for a fee.

5. Rebuild your ranks

Start from the standard ladder, White, Yellow, Orange, Green, Blue, Purple, Brown I to III, then black belt 1st to 10th dan, and rename, reorder or remove any rank to match your curriculum. Pick each belt from 68 built-in pictures and set a test fee per rank. Use the Ranks Overview export to put each student on the right rank.

What you gain, and what you give up

Fair is fair: Kicksite is martial arts software through and through, with belt curriculum, testing events, two-way texting, automated lead nurturing and website design services. Our websites arrive in January 2027.

What you gain: at-risk warnings and retention reported as a rate, families billed in your school’s name, the app, portal and emails in English and Spanish, and month to month: cancel any time, effective at the end of the billing cycle you have paid for.
