Grades are held natively in both directions, with the promotion date and who awarded it recorded against the member. That record is exactly what a national body asks for when a grade is registered, and reconstructing it from memory a year later is where most clubs lose an evening.

Licences renew on their own calendar, not yours

An annual governing-body licence does not line up with the month a member joined, and it is not optional — an unlicensed member cannot compete and, in many associations, cannot train. Held as a one-off charge against a member whose card is already on file, renewal becomes a collection rather than a chase, and you can see who is covered well before a competition rather than the night before.

Competition entries as a record, not a group message

Shiai entries have a closing date, a fee and a list of who is actually going. Run as an event with its own roster and its own charge, the entry list is the same object the money is attached to — so who has paid and who is entered has one answer instead of two.
